Terms & Conditions for Hotel Bookings

Scope of Service

Fly Earth Visas and Hospitality (“the Company”) provides hotel booking and accommodation arrangement services through reputed domestic and international hotel partners, aggregators, and travel platforms. The Company acts as an intermediary between the customer and the hotel or accommodation provider and is **not** the end service provider.

Booking Confirmation

All hotel bookings are subject to availability at the time of confirmation. A booking is considered confirmed only upon receipt of full payment and issuance of a confirmation voucher from the Company. The client must check all details (dates, number of guests, room type, and amenities) on the confirmation voucher.

Rates and Inclusions

Hotel rates are dynamic and may vary based on season, demand, room category, and foreign exchange rates. Prices include only those services specifically mentioned in the booking confirmation (e.g., breakfast, taxes, Wi-Fi). Any additional services used at the property (e.g., meals, minibar, laundry, spa) must be paid directly by the guest.

Check-In and Check-Out Policy

Standard hotel check-in and check-out times vary by destination and property. Early check-in or late check-out requests are subject to hotel availability and may incur extra charges. Valid photo identification and booking confirmation are mandatory at the time of check-in.

Guest Responsibility

Guests are responsible for maintaining proper behavior during their stay and complying with hotel policies. The hotel has the right to refuse accommodation or cancel a booking if guests are found violating property rules or engaging in unlawful activity. Any damages caused to hotel property must be compensated directly by the guest.

Amendments and Modifications

Any change in booking (such as date modification, room type, or number of guests) is subject to hotel policies and may involve additional charges. The Company will make reasonable efforts to accommodate changes but cannot guarantee modification availability.

Cancellations and Refunds

Cancellation terms vary from hotel to hotel and are clearly stated at the time of booking. In case of no-show, late arrival, or early check-out, the applicable cancellation charges will apply as per the hotel’s policy. The Company’s service fee portion is non-refundable, irrespective of the hotel’s refund policy. Refunds, if applicable, will be processed after deducting all cancellation and service charges.

Force Majeure and Overbooking

In rare cases of hotel overbooking or operational issues, the property may provide an alternate accommodation of similar or higher category at its discretion. The Company shall not be held liable for any inconvenience or additional expenses arising due to such circumstances.

Taxes and Local Charges

Taxes, resort fees, or local government charges not included in the booking price must be paid directly at the hotel during check-in or check-out. International hotel taxes may vary based on government regulations.

Special Requests

Requests such as specific room views, bed types, smoking/non-smoking rooms, or adjoining rooms are subject to hotel availability and cannot be guaranteed in advance.

Responsibility and Liability Disclaimer

The Company is not responsible for the quality of service, amenities, or facilities provided by the hotel; any injury, loss, theft, or damage during the guest’s stay; or disputes or service deficiencies caused by the hotel management. The Company’s role is limited to facilitating reservations as per client instructions.

Client Acknowledgment

By booking hotel services through the Company, the client acknowledges they have read, understood, and agreed to the hotel’s terms and the Company’s booking policies. The client accepts that all hotel-related obligations rest with the respective property or supplier.
